Privacy Policy

Updated 20 Jul 2026

At RTC LEAGUE (RECEPTIVE TECH COMMUNICATION LEAGUE), we value your privacy and are committed to keeping your personal data secure.

1. Information We Collect

We may collect:

  • Personal details (like name, email, company name) when you contact us or sign up.
  • Technical information (like IP address, browser type, and usage data) to improve website performance.
  • Cookies Policy and analytics data to understand how visitors interact with our site.
  • Where you use our TelEcho or HintMint services: call audio, voice recordings, meeting transcripts, speaker profiles, and CRM/calendar records synced through connected integrations.

2. How We Use Your Information

We use your data to:

  • Provide, improve, and personalize our services, including real-time transcription, AI response generation, and meeting/call summaries.
  • Respond to inquiries or support requests.
  • Send important updates, if you've opted in.
  • Maintain website security and functionality.
  • Facilitate speaker recognition and cross-meeting/cross-call memory features, where enabled by Customer.
  • Process payments and manage subscriptions.
  • Comply with legal obligations.

3. Data Sharing

We do not sell or rent your personal information. We may share it with trusted partners (like hosting or analytics providers) who help us operate our business, under strict confidentiality agreements. This includes the Sub-processors listed in our Subprocessor List (see Section 9 below), integration partners you choose to connect (e.g., CRM, calendar, EHR systems), and, where required, legal or safety authorities.

4. Your Rights

You can:

  • Request a copy of your data.
  • Ask us to delete or correct information.
  • Opt out of marketing emails anytime.

Enterprise end users should generally direct such requests to the organization that deployed TelEcho or HintMint, as that organization is the data Controller.

5. Data Security

We use encryption, firewalls, and secure hosting to protect your data. This includes TLS 1.2+ encryption in transit and AES-256 encryption at rest for stored recordings, transcripts, and databases, along with role-based access control. While no online service is 100% secure, we take strong precautions to safeguard your information. See our full Security & Trust Center for details.

6. Updates to This Policy

We may update this Privacy Policy occasionally. The latest version will always be available on this page.

7. Contact Us

For any inquiries, please contact us at info@rtcleague.com.

8. AI Processing and Model Providers

To generate voice responses, transcripts, and insights, TelEcho and HintMint route audio and text through third-party speech-to-text, text-to-speech, and large language model providers, identified in our Subprocessor List. We configure these integrations, where offered by the provider, to disable use of Customer-submitted data for training the provider's general-purpose models. We do not use Customer Data to train our own foundation models for the benefit of other customers.

9. Sub-processors and International Data Transfers

A current list of Sub-processors engaged to provide TelEcho and HintMint is published within our product settings and made available on request. Where Personal Data is transferred internationally (e.g., from the EEA, UK, or Switzerland to the United States), we rely on appropriate safeguards such as Standard Contractual Clauses, consistent with our Data Processing Agreement.

10. Recording and Meeting Consent

Where TelEcho or HintMint is used to record or transcribe a call, meeting, or interview, the Customer deploying the service (not RTC LEAGUE) is responsible for providing any legally required notice to, and obtaining any legally required consent from, participants under applicable recording-consent, wiretapping, or data protection laws.

11. Data Retention

We retain call recordings, transcripts, and meeting notes for the period configured by Customer within product settings, or, absent such configuration, for our default retention period, after which data is deleted or anonymized, except as required for legal, billing, or security purposes.

c) Contact and Support Information

If you contact us for customer support or subscribe to communications, we may collect your name, email address, and any information you provide. This data is used only to respond to your request and is not shared for marketing purposes without your consent.

d) Location Information

We may determine your approximate location based on your IP address to deliver the correct language version, apply regional settings, and comply with legal requirements. We do not access precise GPS locations unless you explicitly allow it and a legitimate purpose exists.

e) Cookies and Similar Technologies

Our websites and third-party partners may use cookies, SDKs, pixels, or similar technologies for analytics, advertising, and service functionality.

We do not knowingly collect sensitive personal data or information from children under the age of 13. If such data is collected unintentionally, please contact us so we can take appropriate action.

Your data may be transferred to and processed in countries outside your residence, including the United States, Europe, and Singapore. We rely on appropriate safeguards such as Standard Contractual Clauses where required.

6. Data Retention

We retain personal data only as long as necessary for the purposes described. Gameplay and advertising-related data is generally retained for up to 24 months after last activity unless a longer retention period is required by law. Data is securely deleted or anonymized when no longer needed.

7. Your Rights and Choices

Depending on your location, you may have the right to access, correct, or request deletion of your data. You may also object to or restrict certain processing, or opt out of personalized advertising.
